Import subscriptions

You import subscriptions, i.e. products per account and person, with start date, end date, payment type and quantity.

In short: Each row is one subscription: account, person, product and start date. If a subscription with the same account, product and person already exists, vynst updates it instead of creating a duplicate.

What you need this for

After switching to vynst, the ongoing fees and products of each account must exist as subscriptions so that vynst can bill them. This file transfers them in one pass.

Before you start

• Rights: You need the role Administrator with write access for CRM.
• Imported beforehand: The accounts, the persons and the products must already exist in vynst, with the same numbers as in the subscription file. A person must be linked to the account, otherwise vynst skips the row.
• Backup: The import cannot be undone at the click of a button. Before you start, export the subscriptions under Settings → Export (Einstellungen → Export).

Prepare the file

• File name: Must contain AFS_SUBSCRIPTION_ and .csv, for example AFS_SUBSCRIPTION_2026.csv.
• Header row: Account number, product number and start date must be present. The start date column must not be the last column.
• Separator: Semicolon or comma. Use the same character throughout the whole file.
• Date: 01.09.2026 or 2026-09-01. Empty end date cell: open-ended.
• Size: From 9000 rows onwards, vynst splits the file into packages of 3000 rows each by itself.

Here, Lena Hartmann (person 1001) belongs to the account of the Hartmann family (K-1001) and has the adult fee from 01.01.2020. She has been billed up to 30.09.2026. Jonas Hartmann (person 1002) also belongs to account K-1001 and has the youth fee from 01.03.2022. No billing date is entered for him yet. The column FALLBACK_TO_LINKED_COMPANY is set to ja for him, but it does not apply here, because he is linked to the account.

How to proceed

1. Open Settings → Import (Einstellungen → Import).
2. Click Add (Hinzufügen) and select the file.
3. Wait until the entry in the list is green. For a large file, the packages appear as separate entries.
4. Read the log. Every line with Error: was not imported.

Good to know

• Re-import: If a subscription with the same account, product and person already exists, vynst updates it. Without a person number, vynst updates the first subscription with the account and product.
• Empty cells do not overwrite existing values. This means you cannot remove an end date this way.
• Unknown account: If the account is not known in vynst, vynst skips the row with an error, even if the person is known. Only if you want to use the first account of the person, set FALLBACK_TO_LINKED_COMPANY to ja. Then vynst takes the first account of the person and writes a warning to the log. Check the account numbers beforehand.
• Person without account: If the person is not linked to the account, vynst skips the row. The exception is the column FALLBACK_TO_LINKED_COMPANY with ja.
• Large files: From 9000 rows onwards, vynst splits the file into packages. The log line Info: split into N files is followed by the packages as separate imports.
