Change membership product

You swap one product for another in many memberships, optionally from a reference date.

In short: You name the previous and the new product. vynst replaces the old product with the new one in the matching memberships, optionally from a date.

What you need this for

When a fee changes, for example from the standard fee to a social tariff, the ongoing memberships must be switched over. With this file, this happens in one pass, instead of editing each membership by hand.

Before you start

• Rights: You need the role Administrator with write access for CRM and for products.
• Imported beforehand: The old and new products must exist in vynst, for example via Products (simple). The affected memberships must also already exist in vynst.
• Backup: The import cannot be undone at the click of a button. Before you start, export the affected data under Settings → Export (Einstellungen → Export).

Prepare the file

• File name: The file must contain .csv. The rest of the name is free.
• Header row: The first two columns are called exactly LOG_BOOK_ENTRY_OLD_PRODUCT_IDENTIFIER and LOG_BOOK_ENTRY_NEW_PRODUCT_IDENTIFIER, in this order. vynst recognises the file by these.
• Separator: Semicolon or comma. Use the same character throughout the file.
• Date: 01.09.2026 or 2026-09-01.
• Tip: A template with the products for which a new version already exists is available as an export with the file name product_list_template_log_book_entry_product_change.csv. The numbers in it are vynst numbers that you do not need to change. You only add the date.

Columns

The import uses only these column names. vynst does not recognise any other spelling.

The first two rows swap the product in all matching memberships, without a filter. The third row only affects persons aged 18. The empty columns LOG_BOOK_ENTRY_ID, PERSON_ID and COMPANY_ID mean: no filter. If only individual members are affected, enter the values there.

How to proceed

1. Open Settings → Import (Einstellungen → Import).
2. Click Add (Hinzufügen) and select the file.
3. Wait until the entry in the list is green. The list updates itself.
4. Read the log. Every row with Error: was not taken over.

Good to know

• What is switched: The old product is replaced by the new one in the entry. This applies to the fee, a reduction, a passive membership and a fee-free period, if the old product is there.
• With a date: The old entry ends on the day before the date. A new entry with the new product starts on the date. An entry that only starts after the date simply receives the new product. An entry that ends before the date remains unchanged.
• Repeated import: You may upload the same file again. Entries that have already been switched remain unchanged.
• Without a filter: If person, account, age and entry number are all missing, a row affects all matching memberships in the system. Check this beforehand.
• Afterwards: vynst updates the subscriptions that result from the memberships in the background.
