Role types

Create or change role types, with order and settings for recording roles.

Format
CSV (comma, semicolon or tab), UTF-8 or Windows-1252
Access rights
Administrator, write access to contacts (CRM)
Example files
rollentypen-beispiel_technisch.csv (technical column names)
rollentypen-beispiel_anwender.csv (German column names)

In short: Role types are the kinds of roles and functions, such as board member or judge. Here you create them or change them. vynst (inwendo ERP) recognises existing types by their ID or their name.

What you need this for

To assign a role or function to a person, role types are needed. This file helps with creating a whole catalogue and with changing many types at once.

Before you start

  • Rights: You need administrator rights and write access for contacts (CRM).
  • Template: First export the existing role types under Settings → Export (Einstellungen → Export), entry “Export of role types” (Export der Rollentypen). You can edit this file directly and import it again.
  • Access tags: The access tags of the role types are not part of export and import.

Prepare the file

  • File name: It must contain .csv.
  • First column: The role type ID is in the first column. Its position is mandatory. The cell may be empty for new types.
  • Name column: Rollentyp-Name or NAME (role type name). For new types, the name is mandatory.
  • Separator: Comma, semicolon or tab. vynst recognises it from the header row.
  • Character set: UTF-8 or Windows-1252, as Excel saves it. Both are read correctly.
  • Yes/No: ja/nein, 1/0, true/false, yes/no, wahr/falsch, on/off.

Columns

Column Required Content Example
Rollentyp-ID (LOG_BOOK_ENTRY_TYPE_IDENTIFIER), first column yes ID of the role type. Empty is allowed for new types. At most 190 characters. Also accepted: Rollentyp-ID, Rollentyp, Funktionstyp. LOG_CONTENT_TYPE_KAMPFRICHTER
Rollentyp-Name (NAME) for new types Name of the role type. Also accepted: Rollentyp-Name, Name. Kampfrichter
Gelöscht (DELETED) no Yes/No. Also accepted: Gelöscht. nein
Reihenfolge (VIEW_ORDER) no Number for sorting. Also accepted: Reihenfolge. 30
Filter (FILTER) no Filter specification. An empty cell deletes the value. Also accepted: Filter.
Hat Kalender-Menüeintrag (HAS_CALENDAR) no Yes/No. Also accepted: Kalender. nein
Ablauf-Erinnerung aktiv (HAS_REMINDER) no Yes/No. Also accepted: Ablauf-Erinnerung. ja
Benötigt Kategorie (REQUIRE_CATEGORY) no Yes/No nein
Benötigt Produkt (REQUIRE_PRODUCT) no Yes/No nein
Enddatum aus Person übernehmen (COPY_PERSON_END_DATE) no Yes/No nein
Mindestdauer (Tage) (MIN_DURATION) no Number. An empty cell deletes the value. Also accepted: Mindestdauer. 30
Access-Tag aus Kategorie / Sparte übernehmen (USE_ACCESS_TAG_FROM_CATEGORY) no Yes/No nein
Passive Rolle / Funktion ignorieren (ACCESS_TAG_SKIP_PASSIVE) no Yes/No nein
Fehlende Abrechnungskonto-Verknüpfung ignorieren (ACCESS_TAG_IGNORE_MISSING_COMPANY) no Yes/No nein
Import-Feldname (IMPORT_FIELD_NAME) no Text. An empty cell deletes the value.
Darf eigene Verfügbarkeiten anlegen (ALLOW_OWN_AVAILABILITY) no Yes/No nein

A missing or empty optional column leaves the previous value in place.

Example

The technical file with the column names of the import:

LOG_BOOK_ENTRY_TYPE_IDENTIFIER,NAME,DELETED,VIEW_ORDER,FILTER,HAS_CALENDAR,HAS_REMINDER,REQUIRE_CATEGORY,REQUIRE_PRODUCT,COPY_PERSON_END_DATE,MIN_DURATION,USE_ACCESS_TAG_FROM_CATEGORY,ACCESS_TAG_SKIP_PASSIVE,ACCESS_TAG_IGNORE_MISSING_COMPANY,IMPORT_FIELD_NAME,ALLOW_OWN_AVAILABILITY
,Übungsleitung,nein,10,,nein,nein,nein,nein,nein,,nein,nein,nein,,nein
,Vorstand,nein,20,,nein,nein,nein,nein,nein,,nein,nein,nein,,nein
LOG_CONTENT_TYPE_KAMPFRICHTER,Kampfrichter,nein,30,,nein,ja,nein,nein,nein,30,nein,nein,nein,,nein

Example files: rollentypen-beispiel_technisch.csv with the technical column names, rollentypen-beispiel_anwender.csv with the German column names.

The first two rows have no ID. vynst creates the role types and forms the ID from the name, that is LOG_CONTENT_TYPE_UEBUNGSLEITUNG and LOG_CONTENT_TYPE_VORSTAND. The third row names its ID itself.

How to proceed

  1. Open Settings → Import (Einstellungen → Import).
  2. Click Add (Hinzufügen) and select the file.
  3. Read the log. The line Read summarises the results.
  4. Correct rows with errors and import only those again.

Good to know

  • With an ID, vynst looks up the type via this ID, without distinguishing upper and lower case.
  • Without an ID, vynst looks up the type via the name. A deleted type is only selected if no active type with the name exists. If DELETED is empty, it becomes active again.
  • A new type without an ID receives the ID LOG_CONTENT_TYPE_ and the name in capital letters. Umlauts are rewritten, special characters become _. If the ID is already taken, vynst appends _2, _3 and so on.
  • Unknown yes/no values and invalid numbers leave the previous value in place and appear as a warning in the log.
  • The row number in the log counts only rows with content. Empty rows are not counted.
  • Access tags and the additional details on roles are not part of this file. For these there is the file “Additional details on roles” (Zusatzangaben zu Rollen).
