Joining and leaving dates

Adds joining and leaving dates from your list to existing persons.

Format
CSV (comma), UTF-8
Access rights
Contacts (CRM) with write access
Example file
eintritt-austritt-beispiel_technisch.csv (download)

In short: With this file you add the joining and leaving dates for persons who already exist. The import does not create new persons.

What you need this for

If you have taken over members from a previous system, the data on since when someone has been a member and when the membership ends is often missing. This file sets the data afterwards. Each row belongs to exactly one person.

Before you start

  • Rights: You need write access for contacts (CRM). An administrator is not necessary.
  • Import beforehand: The persons must already exist in vynst (inwendo ERP). They are found via the combination of account number and sub-number. These numbers must have been assigned in exactly the same way when the persons were imported.
  • Backup: Empty cells delete an existing date. Therefore, before you start, export the persons under Settings → Export (Einstellungen → Export).

Prepare the file

  • File name: It must contain .csv, for example eintritt-austritt.csv.
  • Header row: The columns must appear in exactly this order and be written exactly like this: account_identifier,account_sub_identifier,start,end,import_prefix
  • Separator: Comma. Semicolon is not recognised here.
  • Date: 01.03.2026 or 2026-03-01. An empty cell means no date.
  • Numbers: Write account number and sub-number with digits only. Letters are read as 0.

Columns

Column Required Content Example
account_identifier yes Account number from the previous system. If the cell is empty, the row is skipped. 1001
account_sub_identifier yes Sub-number within the account. An empty cell counts as 0. 1
start no Joining date. An empty cell deletes the previous date. 01.01.2020
end no Leaving date. An empty cell deletes the previous date. 31.12.2025
import_prefix no Prefix of the person numbers. Without this column, C1_CSV_ applies. For persons in the Inwendo format, IW_CSV_. IW_CSV_

Example

account_identifier,account_sub_identifier,start,end,import_prefix
1003,0,15.09.2023,,AFS_CSV_
2001,0,01.04.2019,,IW_CSV_
2001,1,01.04.2019,31.12.2026,IW_CSV_
2003,0,01.10.2024,,IW_CSV_

Example file: eintritt-austritt-beispiel_technisch.csv

Each row belongs to one person. Account number, sub-number and prefix make up their number: 2001,0 with IW_CSV_ is the person IW_CSV_2001_0. For 2001-1, a leaving date is also given. If end is empty, an existing leaving date is deleted.

How to proceed

  1. Open Settings → Import (Einstellungen → Import).
  2. Click Add (Hinzufügen) and select the file.
  3. Wait until the entry is finished and read the log.
  4. Compare the number of rows read with your list. The log does not report persons that vynst cannot find.

Good to know

  • The import only changes existing persons. A row with an unknown number is skipped silently.
  • An empty cell in start or end deletes the date that was previously stored in vynst.
  • A repeated import sets the same data again. No duplicate persons are created in the process.
  • Account number and sub-number are read as whole numbers. If text such as K-1001 is there, it becomes 0 and the row matches no person.
  • If two rows in the file have the same account number and sub-number, the last one applies.
  • There is no undo. Correct the file and import it again.
