Qualifications

You create the qualifications of your staff, such as training courses or licences, with description and ranking.

Format: CSV (comma or semicolon), UTF-8
Access rights: Staff (write)
Example files: AFS_QUALIFICATION_beispiel_technisch.csv (technical column names)
AFS_QUALIFICATION_beispiel_anwender.csv (German column names)

In short: With this file you create qualifications, for example a trainer licence or a first-aid course, or change existing ones. The file name must contain AFS_QUALIFICATION.

What you need this for

Qualifications describe which training or certificates your staff have. They are the basis for assigning persons to tasks. With a table you set up all qualifications at once.

Before you start

Rights: You need write access for the area Staff (Personal).
Backup: An import cannot be undone at the click of a button. Before larger changes, export the affected data under Settings → Export (Einstellungen → Export).

Prepare the file

File name: Must contain AFS_QUALIFICATION, e.g. AFS_QUALIFICATION_qualifikationen.csv. The spelling must be exactly like this; upper and lower case count.
Format: CSV. The separator is semicolon ; or comma ,. Put texts containing separators in quotation marks "…".
Header row: The first row contains the column names. The column QUALIFICATION_ID must appear spelled out, in upper or lower case. The German spelling Qualifikation ID is not recognised by vynst.
Number: QUALIFICATION_ID is your own number for the qualification. It is recognised in later imports. Leading or trailing spaces are not removed.
Yes/No: ja or nein, also 1 or 0 and true or false.

Columns

Example files: AFS_QUALIFICATION_beispiel_technisch.csv with the technical column names, AFS_QUALIFICATION_beispiel_anwender.csv with the German column names.

The qualifications Erste Hilfe and Übungsleiter C Lizenz are then available in vynst. The column RANKING sets the order of ranking. The file with the German column names contains the same rows. The column QUALIFICATION_ID is also named like this there, because the recognition needs this name.

How to proceed

Open Settings → Import (Einstellungen → Import).
Click Add (Hinzufügen) and select the file. The file name must contain AFS_QUALIFICATION.
The file appears in the list and is processed in the background. Check the log afterwards.

Good to know

Repeated import: A known number updates the existing qualification. A new number creates a new qualification. Keep the numbers stable.
Empty cells: An empty name, an empty ranking or an empty value for DELETED leaves the previous value in place. An empty description, however, is cleared.
Links: Equivalences between qualifications are not part of the file. Maintain them in vynst after the import.
Unknown values: If DELETED contains something other than ja, nein, 1, 0, true or false, the value is treated as nein.

When something does not work
