Enable logins
Creates a login for persons without access and sends them the email to set a password.
- Format
- CSV (comma or semicolon), UTF-8
- Access rights
- Administrator, write contacts (CRM)
- Example files
- logins-beispiel_technisch.csv (technical column names)
logins-beispiel_anwender.csv (German column names)
In short: You name one person per row and set
ja. vynst creates a login for this person and sends them an email with which they set their password.
What you need this for
Members or contacts should be able to sign in to the portal themselves. Instead of creating each login individually, you enable many persons at once with this file.
Before you start
- Rights: You need the access right Imports (Importe) and be an Administrator with write access for Contacts (CRM) (Kontakte (CRM)).
- Persons: The persons must already be in vynst. The email goes to the person’s address, so they should have an email address stored.
- Only without a login: Persons who already have a login are skipped. Their row stays without a message.
- Emails: Every person enabled receives an email. Therefore, do not send the file more than once.
- Waiting time: After each activation, vynst waits 5 seconds so that not many emails go out at once. A large list therefore takes a long time.
- Backup: Take an export of your persons beforehand.
Prepare the file
-
File name: Free choice, it must end with
.csv. The file is recognised by its header row. -
Header row:
PERSON_IDENTIFIER,TRIGGER_ACTIVATE_PERSON_LOGINor with the optional fieldRESET_TOKEN_VALID_FOR:PERSON_IDENTIFIER,TRIGGER_ACTIVATE_PERSON_LOGIN,RESET_TOKEN_VALID_FORA semicolon instead of a comma also works.
-
Separator: Comma or semicolon, the same throughout the file.
Columns
| Column | Required | Content | Example |
|---|---|---|---|
Personen ID (PERSON_IDENTIFIER) |
yes | Person number with prefix, as stored in vynst, or the imported ID of the person. A pure number is understood as an internal number. | M-1001 |
Freischalten (TRIGGER_ACTIVATE_PERSON_LOGIN) |
yes | ja enables. nein or another value does not enable. |
ja |
RESET_TOKEN_VALID_FOR |
no | How many hours the link in the email is valid. Without a value, an empty cell or 0, the link is valid for 336 hours (14 days). The value must be a whole number. | 96 |
Example:
PERSON_IDENTIFIER,TRIGGER_ACTIVATE_PERSON_LOGIN,RESET_TOKEN_VALID_FOR
AFS_CSV_1001,ja,96
AFS_CSV_1003,ja,96
Example files: logins-beispiel_technisch.csv with the technical column names, logins-beispiel_anwender.csv with the German column names.
How to proceed
- Open Settings → Import (Einstellungen → Import).
- Click Add (Hinzufügen) and select the file.
- Wait until the entry is green or red.
- Check the log for rows with
Error:. - For some persons, check whether the login was created.
Good to know
- The email comes later: For each person, the import queues a job that vynst then works through. The login is created then, and the email goes out. Nothing about this appears in the import log.
- Errors during creation: If creation fails in the background, for example because the person has no email address, this does not appear in the import log. Check these persons individually.
- No preview: The file does not check beforehand whether a person has an email address.
- No means no: A row with
neinappears in the log nevertheless asError: skipped missing TRIGGER_ACTIVATE_PERSON_LOGIN. This is a skip message and not an error in the value. - German header: Instead of
PERSON_IDENTIFIER,TRIGGER_ACTIVATE_PERSON_LOGIN,Personen ID,Freischaltenalso works. The two columns must come first, in this order.
When something does not work
| Message in the log | Meaning | What to do |
|---|---|---|
Error: skipped missing PERSON_IDENTIFIER |
The person number is missing. The row then appears as LINE-DATA. |
Add it and re-import only this row. |
Error: skipped missing TRIGGER_ACTIVATE_PERSON_LOGIN |
The value is not ja (or another yes). The row is skipped. |
For nein, nothing to do. For ja, check the spelling. |
Error: person not found |
The person cannot be found with this number. The row then appears as LINE-DATA. |
Check the number and re-import only this row. |
Read: N rows |
This many rows were read. | Nothing to do. |
Info: split into N files |
The file was split into packages of 500 rows each. | Nothing to do. |
Error: less then one line |
The file contains no data rows. | Check the file and header row. |
